Getting Started
How do I get started with Workzap?

Fill out the 2-minute quote form on our homepage. Tell us your industry, how many departments you want to automate, and what you currently use to manage your business. We'll prepare a custom proposal within 24 hours. No commitment required.

How does the per-department model work?

We automate one department at a time. You start with your biggest problem — the department causing the most daily pain or financial loss. Once that's live and working, you can add the next department whenever you're ready. There's no pressure to commit to more than one at a time.

Can I see a demo before deciding?

We don't have a generic demo — because every system we build is custom. What we do instead is prepare a detailed proposal showing exactly what we'd build for your business, based on your workflow. This gives you a clearer picture than any generic demo would. Request a proposal and we'll walk you through it on a call.

What do you need from us to start building?

Once we agree on scope, we'll send you an onboarding questionnaire that covers your workflow, team structure, and current data. We'll also need view access to your existing Google Sheets or files so we can understand your data. The process is managed — we guide you through each step.

Pricing & Contracts
How much does it cost?

Pricing is custom-scoped for each project based on your industry, departments needed, and complexity. We don't publish standard prices because every business is different. Submit a quote request and we'll prepare a detailed proposal with full pricing within 24 hours. There's no obligation at this stage.

Are there any ongoing monthly costs after delivery?

Yes — after delivery there's a monthly support retainer that covers hosting, maintenance, updates, security, backups, and continued AI operations. This is discussed and agreed during the proposal stage, before any commitment is made. You always know the full picture upfront.

Do you sign NDAs or confidentiality agreements?

Yes, absolutely. We sign a mutual NDA before sharing any sensitive business information. Your data, processes, and business intelligence are completely confidential. We never share client information with other clients or third parties.

What payment terms do you offer?

Standard terms are 50% upfront to start the build, and 50% on delivery and go-live. For multi-department projects, payments are milestone-based — one department delivered and approved before payment for the next begins. This protects both parties.

Building & Delivery
How long does it take to build my system?

Each department typically takes 30–90 days depending on complexity and how quickly you can provide feedback. A single department (Workzap Core) is usually live within 4–8 weeks. Multi-department builds (Command) are delivered in phases — you get each department live one at a time rather than waiting for everything at once.

What happens to my existing data (Google Sheets, Excel)?

We migrate all your existing data into the new system as part of the build. Every record, every history, every formula — mapped and transferred cleanly. You can continue using your existing sheets during the build period if needed. Nothing is lost in the transition.

Will my team need training to use the system?

Minimal, if any. Because we build around how your team already works — using their existing workflows, terminology, and processes — the learning curve is very small. We also provide a built-in AI support agent inside the dashboard that answers questions in real time. Most teams are fully operational within a week.

What if I want to change something during the build?

We work in two-week sprint cycles. You review progress at the end of each sprint and provide feedback before we proceed. Minor changes are accommodated within the agreed scope. Significant scope changes are discussed and formally agreed with a clear impact on timeline and cost — no surprises.

Ownership & Security
Do I own the system after it's built?

Your data is 100% yours and exportable anytime in any format. The system itself runs on our infrastructure — similar to how any SaaS product works (you don't own Shopify's code, but your store and data are yours). The monthly retainer covers all ongoing infrastructure, security, and maintenance. If you ever want to move, we'll provide a full data export.

Is my data secure?

Yes. All data is encrypted at rest and in transit using industry-standard encryption. Each client's data is completely isolated — there is no shared database across clients. The system is hosted on Google Cloud infrastructure with 99.9% uptime. Regular automated backups are taken daily. We take security seriously because your business data is critical.

How do you handle data backups?

Automated daily backups are included as standard. Backups are stored in a separate geographic location to your primary data. In the event of any issue, we can restore to any point within the last 30 days. Backup and restore procedures are tested regularly.

Scaling & Support
What if something breaks or goes wrong after delivery?

The monthly retainer includes bug fixes and technical support as standard. Critical issues (system down, data errors) are treated as emergencies — we respond within 4 hours. Non-critical issues are resolved within 48 hours. You always have a direct line to our team, not a generic support ticket system.

Can I add more departments after the first one is live?

Absolutely — that's the whole design. Start with one department, see it working, then add the next. Each additional department is a separate project, scoped and priced independently. Many clients start with Finance, then add Orders, then Inventory — building their system one department at a time at their own pace.

Do you work with businesses outside Pakistan?

Yes — we actively serve clients in UAE, Saudi Arabia, and the UK. Our systems support multi-currency, multi-timezone, and Arabic language where required. The quote process and build process are fully remote — geography is not a barrier.

What languages does the system support?

All systems are built in English by default. Urdu language support is available on request for Pakistan-based clients. Arabic language support is available for UAE and Gulf clients. Language requirements are scoped during the proposal stage.
